This page explains what personal information Elite collects, how the website and our Discord bot use it, and what you can ask us to do with it. Elite is a gaming community run by volunteers, not a company. We keep what we collect to a minimum.

Who we are
Elite is an online PC gaming community founded in 2006. This website and the Elite bot on our Discord are run by Elite’s Directors. If you have a question about your information, email typhon@elite06.com or message a Director on our Discord.
When you apply to join
The application form asks for your tag name, Discord username, email address, date of birth, country, state or region, the games you play and how you heard about us. You can also give your first name, your game IDs and when you usually play. You confirm that you are 21 or over, play on PC and agree to our rules.
Your application is emailed to Elite’s application inbox, and a copy is posted to a private staff channel on our Discord so Directors and Staff can review it. We use it to assess your application and to contact you about it. We don’t accept applications from anyone under 21. If one reaches us by mistake, we delete it.
If you become a member
Your membership details are kept in a private Google Sheet that only the Directors can edit. The website reads from it to build the roster and member pages.
What is public
The roster and your member profile page show your tag name, role, age, state or region and country, the date you joined, your service medals and your Discord profile picture. Your profile also has a share image that shows your name, picture, join date and medals when someone links to it. You may also appear on our “Class of” pages, which list members by the year they joined, and in “On this day” highlights.
Birthdays
We use only the day and month of your birthday. The website never stores or shows your full date of birth. On your birthday, the Elite bot posts a message in our Discord announcements channel that tags you and includes a birthday image with your name and profile picture. The post never shows your age or year of birth.
Anniversaries and service roles
On the anniversary of the day you joined, the bot posts a message in our announcements channel that tags you and includes an image with your name, profile picture, years in Elite and the year you joined. At 5, 10, 15 and 20 years, the bot gives you the matching service role on our Discord.
Your Discord ID
We record your Discord user ID in the sheet. It links your roster entry to your Discord account, so we can show your profile picture, tag you in birthday and anniversary posts and give you service roles. It also lets members look up your roster details inside our Discord with the bot’s commands, such as /profile. The bot can only see our own server. It does not read your messages.
Opting out
Tell a Director if you would rather we didn’t show your age or location, post on your birthday or anniversary, tag you, or list you on the public roster at all. We will change it.
Discord activity on the website
Parts of the website show live information from our Discord server, such as how many people are online, who is in a voice channel and which games are being played. This comes from Discord’s public server widget, and it shows only what Discord’s widget already makes public. Each hour, the site also counts which games are being played, to show our most-played games. It stores the counts only, never who was playing, and keeps them for 60 days.
When you visit the site
- Server logs. Like any website, our host, IONOS, records basic technical details of each visit, such as your IP address, browser type and the pages you request. These logs are used to keep the site running and secure.
- Downloads. When you download a file from our Downloads page, we count the download. We don’t record who downloaded it.
- Cookies. We don’t use advertising or tracking cookies, and we don’t run analytics. WordPress sets cookies only if you log in to the site’s admin area.
- Images from other services. Member profile pictures load from Discord, and some video thumbnails load from YouTube. When your browser loads these, Discord or YouTube can see your IP address.
Other services we use
- Discord, where our community lives and where the Elite bot runs. See Discord’s privacy policy.
- Google, which holds the member sheets. See Google’s privacy policy.
- IONOS, which hosts the website.
We never sell your information or share it with anyone outside Elite, except where the law requires it.
Why we use it
We use your information to run the community you have chosen to join: reviewing applications, keeping the roster, and marking birthdays and anniversaries. You can opt out of any of the public or celebratory parts at any time, as described above.
How long we keep it
- Applications: if your application is unsuccessful, we delete it 2 years after the decision. If you join, it becomes part of your member record.
- Members: kept while you are a member. When you leave, we remove you from the public roster and stop birthday and anniversary posts. We keep your member record privately for Elite’s history and in case you come back, unless you ask us to delete it.
- Images: share, birthday and anniversary images are saved on the website so they load quickly. If you ask us to delete your information, we delete these too.
Your rights
You can ask us at any time to:
- show you the information we hold about you
- correct it
- delete it, or remove it from the public roster
- stop birthday or anniversary posts, or stop tagging you
Email typhon@elite06.com or message a Director on Discord. We will reply within 30 days. If you live in the UK or the EU and are unhappy with how we have handled your information, you can also complain to your data protection authority. In the UK, that is the Information Commissioner’s Office.
Changes
If we change what we collect or how we use it, we will update this page and the date at the top.
